Gathering meeting minutes
June 3, 2006

Gathering opened at 10:00 am, Karen Hawkins (recording secretary)
Attendees:
Sally Chappell, Joan Emerson, Ruth Glantz, Rev Ed Grant, Karen Hawkins, Janet Jones, Bev Larimore, Joanne Morse, Judy Randall, Nancylou Stiles, Juliet Horton (stopped in to offer to do a presentation on Uzbekistan)

Introductions were made, followed by a prayer (led by Rev Ed) and song (led by Nancylou)

Discussions
* Aug 5 meeting needs to be moved to August 12, next meeting remains on July 8 Joanne’s birthday)
* minutes were read, corrected and approved
* copies of letters to be sent to potential and/or confirmed presenters were passed out (Karen will send emails to everyone with letter attached for addition print out)
* schedule of events to date
Sept 15 – Shakers (moved to approve by Karen, second by Bev, approved), Bev will get final confirmation

Sept 18 – Ann D Burt, Climate Changes or Henry Hamilton (date to be determined), Sally will get final confirmation

Sept 20 – open (Juliet presentation on Uzbekistan or possibly Chinese culture)
Sept 21 - open (Juliet presentation on Uzbekistan or possibly Chinese culture)
Sept 22 – American Melting Pot – Chicken Pot Pie supper by UMW (will be a fee for supper), Country Western band (Troubadour) and Jazz band (High School) (moved to approve by Bev, second by Janet, approved)
Sept 23 – Germans – food, songs/music, decorations, posters, possible power point presentation, costumes, coffee shop theme, Ingrid emailed Joanne with good suggestions (moved to approve by Joanne, second by Ruth, approved) Joanne will get final confirmation
Sept 24 – Folk Dancing (Joanne will get final confirmation) and Wind Up with info from each previous presentation, Ruth suggested asking a person to speak on cultural diversity to tie it all together (moved to approve by Ruth, second by Karen, approved)
* Bev suggested we need coordinators for each day, Janet will provide a list of duties for a coordinator
* Joanne offered to contact Mr. Cushing about presenting info on Chinese culture
* Nancylou will ask Mody to contact the school jazz band
* Nancylou said Woody would have an answer from the Seeds of Peace on Monday
* Ruth spoke with Karen Evans about the Homeless culture – they will meet June 20 to discuss possible presentations (Homeless Play, Mental Health Community, Cultural Exchange, Ruth will contact the African Museum on June 13, she will also contact Sister Crow in Conway (Native American culture), also she will speak to someone at the African shop in Conway
* Bev will send letters to the Franco/ American Community in Lewiston, also the Quakers and/or Mennonites
* Janet provided a Budget Report from a meeting attended by Janet, Ruth and Karen, Janet stated she is attending the gatherings as an individual not as a representative of the Healthy Communities Coalition so there is no conflict of interest, she stressed the need to look into various avenues to generate income for this event, motion made by Joan to accept budget report, seconded by Nancylou, approved
* Juliet confirmed she would give a presentation on Uzbekistan
* Nancylou volunteered to be the coordinator for fundraising and will ask Woody to help
* Karen will make up sample signup sheets for guests and visitors attending the Celebration, she will also make up sample brochures for Celebration for people to bring to potential financial donors, Ruth suggested the Mission statement be in brochure
* Janet volunteered to coordinate the Press Releases and advertising for the Celebration, she suggested we begin advertising the event by Aug 1
* after considerable discussion, a motion was made and approved that we not spend money on buttons this year
* Regretfully, Sugien will be unable to do a presentation on Asian culture this year
* what will be done with the information from this event was tabled until the next meeting.
* accommodating Cultures unable/unwilling to enter a religious building was tabled until next meeting
