Board of Directors meeting minutes
September 26, 2008
Meeting opened at 11:25 am by George Bradt (President) at Bridgton Library in the downstairs conference room.
Attendance: George Bradt, Alan Crabtree, Dona Forke, Karen Hawkins
Absent: Joanne Morse, Charles Renneker
Attending CCC event interested members: Mody Botros (Coordinator), Nancylou Stiles
*Sept 3 minutes approved
*Treasurer report: signature cards are signed for Norway Savings Bank checking account, balance was approximately $2287.00, insurance bill $325 was paid brining balance to approximately $1962.00
* Karen received correspondence dated July 23, 2008 from the Ham Foundation was presented from Woody Woodward last week. The letter was read. The Foundation requested a written report reflecting how the grant money was used for the Community Cultural Celebration. Terms of the grant were also mentioned. Karen will send the required information to the Foundation the week after Fryeburg Fair. George will call Robert Murphy to notify him of our intentions to satisfy their request. It was discussed that our response include an explanation of the transition the CCC is going through (from Bridgton United Methodist Church to our own 501c3 status), verification that the money has been transferred from the church to the CCC, copies of past minutes of all meetings and By-laws, costs incurred, number of represented cultures and number of attendees, a request to keep the remaining money to use on the upcoming event
*Nancylou noted we may apply for a grant again in Jan 2009
*Karen asked for copies of articles in the Bridgton Newspaper to scan for the archives, Mody and Nancylou will check to see if they have any
*Karen made a motion that George and Mody each have possession of a Post Office box key, Alan seconded motion, unanimously approved
*Karen contacted LRHS about an English teacher helping with the essay contest
*Mody joined the Bridgton Rotary Club and offered to be a liaison with them and the CCC, he is involved with their Interact project and will make contact with LRHS (Cindy, art teacher), ? (English teacher) to work on an international program with the school kids (Rotary encourages/supports the kids to raise money and donate it to an approved program), Mody mentioned again that February is International awareness month for all Rotary clubs, he also told us there are 10 clubs between Portland and Lewiston and that is would behoove us to make presentations about the CCC to as many of them as possible (asking that Board members participate in the presentations)
*Karen made a motion that mileage be reimbursed at IRS recommended rates for all CCC related business (such as the presentations), George and Alan seconded the motion, unanimously approved
*potential advertising costs for event include; shirts, brochures/flyers/rack cards to bring to presentations
*suggestion made to create a Power Point presentation
*Karen is to call Joe Beecher to ask permission to use photos from last year’s event for brochure/Power Point presentation
*Alan said the Rotary club offers financial support to non-profits, perhaps ask participants from cultures to go to presentations
*Suggestion to contact past presenters and ask for photos to use
*Mody and Karen will work together on rack card information
*Mody, Alan and Dona will prepare a sample script for Rotary presentations
*Nancylou suggested we consider the essay winner go to United Nations building rather than Washington, D.C.
*Alan spoke to Mike about membership in the Greater Bridgton Chamber of Commerce, a motion was made by George that Chuck fill out an application to submit to the Chamber and not pay more than $100 for membership, Alan seconded the motion, unanimously approved
